Privacy policy
Last updated: 28 October 2026
This policy explains how Velaira handles personal information collected through velaira-ac.com and enquiries about our products, installation and distribution opportunities.
Who is responsible for your information?
Velaira is responsible for deciding how your enquiry information is used. For privacy questions or to exercise your rights, email info@velaira-ac.com.
Information we collect
When you contact us, we collect the information you provide: your name, email address, telephone number, address and postcode; your product selection, number of units and rooms, installation preference and message; and, for distributor enquiries, your company and job role. We also receive information in subsequent correspondence.
Our hosting and form providers may process technical information such as your IP address, browser information, request times and security logs to deliver the website and filter spam. Please do not include sensitive personal information in enquiry messages.
How and why we use it
- To respond to product enquiries, prepare quotations and discuss installation or supply. Where you are considering a purchase yourself, this is to take steps at your request before entering a contract.
- To answer general questions and business or distributor enquiries, and maintain relevant correspondence. Our legitimate interests are responding to people who contact us and managing our business relationships.
- To operate and protect the website and prevent misuse, based on our legitimate interests in maintaining a reliable, secure service.
- To meet applicable legal obligations where these require us to keep or disclose information.
Fields marked as required help us respond to your enquiry. If you prefer not to use the form, you can contact us by email. Sending an enquiry does not subscribe you to a marketing mailing list. We do not use enquiry information for automated decisions that have legal or similarly significant effects.
Who receives your information?
Our website is hosted by Netlify. Netlify Forms processes and stores submissions, checks for spam and sends enquiry notifications to Velaira. Our email is provided through Google Workspace. Elkwood Studios may access website information where needed to provide technical support. These providers process information to deliver their services.
If you request professional installation, relevant details may need to be shared with a surveyor or installer to arrange the service; we will discuss this with you. Information may also be disclosed where required by law.
Processing outside the UK
Our service providers operate internationally, so information may be processed outside the UK. International processing is subject to applicable data protection requirements and the providers’ contractual safeguards. You can contact us for more information about the arrangements relevant to your enquiry.
How long information is kept
We retain information for as long as reasonably necessary to handle your enquiry, follow up on your requirements and maintain any resulting business relationship. Relevant factors include whether an enquiry remains active, whether it leads to an order or installation, and any legal record-keeping or dispute requirements. You can ask us about the retention of your particular enquiry or request deletion, subject to any lawful reason to retain it.
Cookies, fonts and website services
The website currently has no Google Analytics or advertising tracking installed. The product chooser operates within the page and does not save your answers in browser storage. Fonts are hosted with the website, so loading them does not require a connection to Google Fonts. Hosting and spam-prevention services may also process technical information to operate and protect the site.
For information about our providers, see Netlify’s privacy policy and Google’s privacy policy. If we introduce analytics or other tracking, we will update this notice and provide any required choices before using it.
Your rights and complaints
Depending on the circumstances, you can request access to your personal information, correction, deletion, restriction of processing or a portable copy. You can object to processing based on legitimate interests. Where processing relies on consent, you can withdraw it. These rights have conditions and exceptions.
Email info@velaira-ac.com to make a request or raise a concern. We may need to verify your identity. Requests are normally free and we normally respond within one month, subject to any permitted extension.
You can also complain to the UK Information Commissioner’s Office through ico.org.uk/make-a-complaint.
Changes to this policy
We may update this policy when the website or our use of information changes. The date above shows the latest update.
